MBGA Committee Roles

President

The president of MBGA is a one-year position. The general responsibility of the President is to oversee all MBGA initiatives and projects and to contribute to the direction of the MBGA. The President will serve as Past President after the one-year term as President.

Functions:

  • Participates as a member of the MBGA Committee attending monthly meetings and special meetings as scheduled.
  • Financial Signing Officer
  • Works closely with all committee members regarding committee needs, issues and progress.
  • Works closely with the committee on all association details, including, but not limited to, the following:
    • Legal issues
    • Media Communications
    • Financial commitments & contracts
    • General Problem-solving
  • Develops agenda (with the Secretary) and conducts the Monthly Meeting.
  • Develops and implements planning for the on-going goals of the organization.
  • Continues to develop and support the association’s long-range vision.
  • Arrives at all meetings early for pre-planning.

Vice-President

The Vice President is a one-year elected position. The Vice-President serves as the liaison for all MBGA fund raising initiatives and will be available to fulfill the role of President of the committee in

Functions:

  • Participates as a member of the MBGA Committee attending monthly meetings and special meetings as scheduled.
  • Financial Signing Officer
  • Assists with conference and meeting planning and production.
  • Serves as President in the absence of the President. In the event of a vacancy in the office of the President, the Vice-President shall succeed and assume the role of President for the balance of the unexpired term.
  • Tracks organizational projects and activities to ensure that work is being conducted and makes reports on a regular basis.
  • Assists the President in arranging for all special committee meetings (special projects or activities).
  • Assists the Training and Workshop Coordinator in arranging for special meetings (for conference planning, special projects or activities).
  • Arrives at all meetings early for pre-planning.

Past President

The Past-President is a term served following the completion of the President's term, with the responsibility of continuing to contribute to the goals and direction of the organization. The Past-President term ends when replaced by the next Past-President.

Functions:

  • Participates as a member of the MBGA Committee attending monthly meetings and special meetings as scheduled.
  • Assists the President with MBGA initiatives.
  • Fulfills other duties as required.

Treasurer

The Treasurer is a one-year elected position. The Treasurer holds financial responsibility for the association.

Functions:

  • Participates as a member of the MBGA Committee attending monthly meetings and special meetings as scheduled.
  • Financial Signing Officer
  • Keeps record of any financial transactions on behalf of the MBGA
  • Distributes monies by cheque on an as required basis.
  • Works closely with the Vice-President to develop the budget and track financial records for the organizations.
  • Advises the MBGA committee on budgetary and financial matters on a monthly basis.
  • Works with Vice-President to file taxes for the association (if applicable). Keeps records of same.

Secretary

The Secretary is a one-year elected position. The Secretary serves as the recorder of all MBGA official business and maintains the official records of the organization.

Functions:

  • Participates as a member of the MBGA Committee attending monthly meetings and special meetings as scheduled.
  • Financial Signing Officer
  • Arrives at all meetings early for pre-planning.
  • Plans agendas for all MBGA Committee meetings.
  • Takes Meeting Minutes, creates document containing meeting minutes, forwards to Web Site Maintenance for review and uploading to internet
  • Work with the Public Relations and Communications Officer and the Training and Workshop Coordinator to create MBGA brochures and training materials
  • Monitor On-line news sources for articles about geocaching.

Public Relations and Training Officers

The Public Relations and Training Officers are one-year elected positions. The Officers are the first point of all contact to the MBGA and handle all external requests to the MBGA for Geocaching training and workshops.

Functions:

  • Participates as a member of the MBGA Committee attending monthly meetings and special meetings as scheduled.
  • Redirects emails and any other communications to the correct MBGA department.
  • Answers questions received by the "Contact Us" function of the MBGA web site.
  • Responsible for communication, as needed, with members and sponsors.
  • Handles MBGA correspondence as directed by the committee or the President.
  • Interviews members for Cacher of the Month, creates HTML and submits to Technical Officer.
  • Works with host conference sites on strategic planning, adhering to MBGA geocaching guidelines.
  • Communicates with non-MBGA associations to co-ordinate training sessions and workshops
  • Communicates with non-MBGA associations to create opportunities for co-operative events.
  • Seeks out opportunities with local groups to expand interest in Geocaching in the province.
  • Work with other Officers and the Secretary to create MBGA brochures and training materials
  • Assists with conference and meeting planning and production.
  • Creates ad hoc event sub-committees as required.
  • Initiatives are subject to the review of the entire MBGA Committee.

Event Coordinator

The Event Coordinator is a one-year elected position. The Event Coordinator is the liaison for all MBGA sanctioned events and event caches.

Functions:

  • Participates as a member of the MBGA Committee attending monthly meetings and special meetings as scheduled.
  • Works with committee members, and MBGA members-at-large in setting up Event Cache web pages on Geocaching.com
  • Assists members who wish host events with coordination of finances, locations, and supplies.
  • Creates ad hoc event sub-committees as required.
  • Initiatives are subject to the review of the entire MBGA Committee.

Technical Coordinator

The Technical Coordinator is a one-year elected position. The coordinator is the focal point for all web related content and functionality.

Functions:

  • Maintains the association’s website. Monitor, create and respond to issues regarding the website and its features.
  • Reviews and uploads all web content in a timely manner (CoTM, minutes, etc.).
  • Creates any required content (milestones, event notices, etc).
  • Writes the code and scripts to perform the necessary functionality on the MBGA web site (email, forms, database).
  • Maintains a discussion forum system.
  • Maintains and administrates email addresses for the association domains.
  • Maintains and moderates an email discussion groups.
  • Creates and maintains a membership database and a travel bug database.
  • Liaison with Internet Service Provider.
  • Maintains and renews mbgeocaching.ca and mbgeocaching.com domain names when required.
  • Accept and review content from MBGA committee and, at times, MBGA members.
  • Participates as a member of the MBGA Committee attending monthly meetings and special meetings as scheduled.
  • Creates ad hoc sub-committees as required.
  • Initiatives are subject to the review of the entire MBGA Committee.
